WEATHERHEAD SCHOOL OF MANAGEMENT

 GBSA Mission Statement

The GBSA is a student-run body dedicated to creating an atmosphere for comprehensive business learning. It seeks to achieve these goals by facilitating communication between students, administration, faculty, staff and alumni. The organization’s primary focus is to enhance each student’s Weatherhead Experience in the areas of professional and cultural development, academic and extra-curricular achievement and community involvement.

 

Article I.  Membership

Section 1:

Every graduate student registered in business classes at the Weatherhead School of Management and enrolled in a degree program is considered a member of the GBSA. Membership ends when a person graduates or is no longer registered in a Weatherhead graduate degree program. The Executive Board will decide any special situations regarding membership.

Section 2:

GBSA members are invited to attend all General Assembly meetings and to cast one vote on all official business brought up in the General Assembly.

Section 3:

The GBSA seeks to recognize and value the diversity of its membership and as such does not discriminate based on gender, race, religion, national origin, age, diversity or sexual orientation.

Article II.  The Executive Board

Section 1:

The GBSA Executive Board will consist of the following officers: 

•             President

•             Vice-President Academic & Student Affairs

•             Vice-President Communications

•             Vice-President Finance

•             Vice-President Social & Cultural Activities

•             Vice-President Student Organizations

•             1st Year Academic & Student Affairs Chairperson

•             1st Year Communications Chairperson

•             1st Year Social & Cultural Affairs Chairperson

•             Evening Academic & Student Affairs Chairperson

Section 2:  Elections

There will be two separate elections for the full Executive Board.

The first election will be for the following positions: 

President

  • Vice-President Academic & Student Affairs

  • Vice-President Communications

  • Vice-President Finance

  • Vice-President Social & Cultural Activities

  • Vice-President Student Organizations

This election will take place no later than the last weekday of the first full week in the month of March.


The second election will be for the following positions:

  • 1st Year Academic & Student Affairs Chairperson

  • 1st Year Communications Chairperson

  • 1st Year Social & Cultural Affairs Chairperson

  • Evening Academic & Student Affairs Chairperson

This election will take place no later than four weeks after the beginning of the Evening Program’s full-time school year.

Section 3:  Authority and Duties of the Executive Board

The Executive Board has the following responsibilities:

  • To execute and uphold the Constitution of the GBSA.

  • To call, at least once a month, General Assembly meetings of the GBSA either on its motion or upon petition by five percent of GBSA members, excluding executive board members.

  • To meet at least once a month in a closed session.

  • To elect an Executive VP from the standing executive officers.

  • To act as an umbrella organization for all student clubs by facilitating communication to and from the Student Organization President’s Council, allocating resources to recognized student clubs and organizing student social activities.

  • Establish budgets for GBSA officers and officially recognized student clubs that request GBSA funding.

  • To implement all resolutions passed by the GBSA during General Assembly.

  • To appoint GBSA committee chairpersons and other GBSA committee members, as well as non-elected Student Organization President’s Council members.

  • To serve as the official liaison between the students, faculty, administration and other outside bodies.

  • To attempt to resolve all internal conflicts arising between students and between student clubs on issues pertaining to student life.

  • To take any issues that cannot be resolved between the GBSA and a club to the Associate Director Student Life and Leadership Development.

  • To draft and amend as a group, pursuant to petition by at least five percent of the members of the GBSA, the By-Laws of the GBSA.

  • To establish the criteria by which student clubs will be recognized as an official member of the Student Organization President’s Council and will be granted permission to use the Weatherhead name.

  • To temporarily manage a club or its funds when the club is inactive (when no officers exist).

  • To sit on any ad-hoc advisory committee as called by Assistant Dean for Academic Affairs.

Section 4:  Authority and Duties of the Executive Board Officers

The authority and responsibility of the Executive Board officers are as follows:

President

  • To direct the Executive Board and preside over all Executive Board meetings and activities.

  • To work with other Executive Officers to prepare them for facilitating GBSA General Assembly meetings.

  • To fill any temporary vacancies in the Executive Board and/or committees after consultation with other members of the Board.

  • To authorize the final disbursement of funds upon recommendations from the Finance Committee.

  • To serve as a general manager of the organization and proactively seek to promote cooperation among members of the Executive Board.

  • To act as primary liaison of the Executive Board to the Dean, Associate Deans, and Associate Director Student Life and Leadership Development.  

  • To make time twice each month to meet with and brief the Evening Academic & Student Affairs Chairperson on GBSA business, as well as to solicit feedback from the Evening MBA students.

  • To serve as the primary GBSA representative at activities outside of Weatherhead.

  • To assist in the transition of the newly elected officer.

 Executive Vice-President

  • To conduct GBSA General Assembly meetings in the absence of or at the request of the President.

  • To perform other duties assigned by the President.

  • To assume the duties of the President in the event that he/she vacates office for any reason.

 VP of Academic and Student Affairs

  • Attend, along with Alumni Affairs Representative, regularly scheduled meetings of the Alumni Relationship Development Committee.

  • To serve as the lead student, along with VP of Communications, with any formal or informal initiatives designed to facilitate communication between the Career and Student Life Center, the GBSA Executive Board and the student body.

  • To work with the VP Social and Cultural Activities and Social Representative to coordinate all student-alumni related events.

  • To recruit representatives for the Accelerated, Evening and Joint degree students, SLMC, and Alumni Affairs positions.

  • To serve as primary contact for each of the four subcommittees under the umbrella of Academic and Student Affairs and to ensure proper execution of events and programs.

  • Attend all meetings of each subcommittee, report findings to GBSA at closed sessions, and serve as liaison between subcommittee representatives and GBSA Executive Board.

  • To attend all meetings of the Professional Degrees Program Council (PDPC) and represent the students’ best interests at these meetings.

  • To present relevant student issues at the all-faculty meeting during fall semester.

  • To serve on ad hoc disciplinary and grievance committees.

  • To assist in the transition of the newly elected officer.

 VP Communications

  • To take minutes at all GBSA general assembly and Executive Board meetings.

  • To act as the Executive Board’s parliamentarian.

  • Maintain attendance records of GBSA committee members and chairs.

  • Publicize and communicate all resolutions and activities of the Executive Board and GBSA.

  • To write (or delegate the writing of) at least two articles for the Weatherhead student newsletter each semester to provide the student body an overview of GBSA Executive Board activities.

  • To maintain the GBSA website

  • To manage the use of, and communications equipment within, the GBSA office.

  • To handle internal and external correspondence from GBSA.

  • To provide agendas for meetings as directed by the President.

  • To assist in the transition of the newly elected officer.

VP Finance

  • To manage the GBSA account and any other university account in the GBSA’s name.

  • To maintain updated records of the account.

  • To report on the status of the account at every GBSA General Assembly meeting and to the President as directed by the President.

  • To solicit, review and make recommendations on GBSA officers’ budgets during the summer budgeting process.

  • To assist the VP of Student Organizations with allocation recommendations for student clubs before they are presented to the GBSA Executive Board during the summer budgeting meeting.

  • To assist in the transition of the newly elected officer.

  • Collaborate with VP of Student Organizations to ensure proper allocation and distribution of funds to all student clubs. Also, assist with establishing and enforcing proper financial protocol.

  • Attend quarterly meeting with VP of Student Organizations, CSLC, and Student Organization President’s Council.

VP Social and Cultural Activities

  • To recruit representatives for the Social, Community Service, Casino Night, International, and Professional Council positions.

  • To serve as primary contact for each of the four subcommittees under the umbrella of Social and Cultural Activities and to ensure proper execution of events and programs.

  • Acts as liaison with Career and Student Life Center to avoid scheduling conflicts.

  • Attend meetings of each subcommittee, report findings to GBSA at closed sessions, and serve as liaison between subcommittee representatives and GBSA Executive Board.

  • To assist in the transition of the newly elected officer.

 VP Student Organizations

  • To maintain records of all recognized clubs and club leaders to provide historical data for each student club.

  • Clearly state proper guidelines and assist student organizations in following protocol to remain active.

  • To preside over all Student Organization President’s Council (see Article III) meetings and serve as liaison between the council and Executive Board.

  • To help newly formed student clubs become officially recognized by the Executive Board.

  • To serve as the day-to-day liaison between student clubs and the Executive Board.

  • To assist in the transition of the newly elected officer.

 

Evening Academic & Student Affairs Chair

  • To be proactive in obtaining and representing student opinions and in uncovering studentissues relevant to Evening MBA students.

  • To participate in the goals and tasks of the GBSA as determined by the VP of Academic and Student Affairs.

  • To make time twice each month to meet with the GBSA President and VP of Academic and Student Affairs to be briefed on GBSA business, and to provide feedback on pressing issues of Evening students.

  • To maintain records to assist the transition of the newly appointed representatives. 

 

1st Year Academic and Student Affairs Chair

Attend, along with Alumni Affairs Representative and VP Academic and Student Affairs,    regularly scheduled meetings of the Alumni Relationship Development Committee.

  • To assist VP of Academic and Student Affairs and VP of Communications, with any formal or informal initiatives designed to facilitate communication between the Career and Student Life Center, the GBSA Executive Board and the student body.

  • To assist VP of Academic and Student Affairs and VP Social and Cultural Activities and Social Representative to coordinate all student-alumni related events.

  • To serve as secondary contact for each of the four subcommittees under the umbrella of Academic and Student Affairs and to ensure proper execution of events and programs.

  • Attend all meetings of each subcommittee, report findings to GBSA at closed sessions, and serve as liaison between subcommittee representatives and GBSA Executive Board.

  • To attend all meetings of the Professional Degrees Program Council and represent the students’ best interests at these meetings.

1st Year Social and Cultural Activities Chair

  • To serve as secondary contact for each of the four subcommittees under the umbrella of Social and Cultural Activities and to ensure proper execution of events and programs.

  • Acts as liaison with Career and Student Life Center to avoid scheduling conflicts.
  • Attend meetings of each subcommittee, report findings to GBSA at closed sessions, and serve as secondary liaison between subcommittee representatives and GBSA Executive Board.

 

1st Year Communication Chair

  • To assist VP of Communications in taking minutes at all GBSA general assembly and Executive Board meetings.

  • Publicize and communicate all resolutions and activities of the Executive Board and GBSA in partnership with VP of Communications.

  • To write (or delegate the writing of) at least two articles for the Weatherhead student newsletter each semester to provide the student body an overview of GBSA Executive Board activities.

  • To manage the use of, and communications equipment within, the GBSA office.

  • To assist VP of Communications in the processing of internal and external correspondence from GBSA.

  • To provide agendas for meetings as directed by the President or VP of Communications.

 

Article III.  Support Council

Section 1:  Elections

There will be an internal election within the Executive Board to elect the Support Council.

This election will take place no later than one month after the Executive Board has assumed responsibility (no later than the last day of classes Spring semester)

Section 2:  Duties of Support Representatives and Chairs

 

Alumni Affairs Representative

  • To design and implement, in cooperation with other members of the Executive Board and the Alumni Relationship Development Committee, programs geared towards strengthening links between alumni and students.

  • To create an effective interface between alumni and students by serving as the alumni activities chairperson, and overseeing the functions of the alumni activities committee.

  • Recruit, convene, and facilitate meetings, along with VP of Academic and Student Affairs and CLSC to organize and execute the Moving Forward Fund.

  • To communicate joint student-alumni activities to the student body.

 

Casino Night Representative

  • To recruit, convene and facilitate regularly scheduled meetings of the Casino Night Committee.

  • To plan, promote, coordinate and communicate all aspects of the annual Casino Night Event.

 

Community Service Representative

  • To recruit, convene and facilitate regular meetings of the Weatherhead Community Service Committee.

  • To plan at least two community service activities each semester.

  • To solicit student opinion for selecting community service activities.

  • Work with VP of Student and Cultural Activities to serve as Weatherhead’s student liaison with any external community service agencies or initiatives.

  • To organize the community service activities and speakers for the Accelerated MBA and Full-time MBA orientations.

 

 

International Representative

  • To represent the best interests of the international student community.

  • To organize and lead the International Fest.

  • Work with VP of Social and Cultural Activities to organize and plan the International Student Orientation.

 

Professional Council Representative

  • Attend regularly scheduled Professional Council meetings.

  • Ensure that Weatherhead’s interests are voiced and work with other professional school representatives to provide collaborative programming.

 

Program Representatives (Accelerated, Evening, Joint Degree)

              ** Evening representative will be the elected Evening chair **

 

Accelerated MBA Representative

  • To be proactive in obtaining and representing student opinions and in uncovering student issues relevant to accelerated program students.

  • To participate in the goals and tasks of the GBSA as determined by the VP of Academic and Student Affairs.

  • To serve a term of office commencing upon appointment during the summer semester and concluding upon graduation the following May.

  • To maintain records to assist the transition of the newly appointed representative.

Joint Degree Representative

  • To be proactive in obtaining and representing student opinions and in uncovering student issues relevant to Joint Degree students.

  • To participate in the goals and tasks of the GBSA as determined by the VP of Academic and Student Affairs.

  • To maintain records to assist the transition of the newly appointed representatives. 

Social Representative

  • To recruit, convene and facilitate regularly scheduled meetings of the Social Activities Committee.

  • To plan, promote, coordinate and communicate all social activities and large-scale events in the name of GBSA.

  • To work with the VP of Social and Cultural Activities, VP of Academic and Student Affairs, and CLSC to assemble social events involving students and alumni.

Student Learning Management Committee (SLMC) Representative

  • To be proactive in obtaining student opinion and in uncovering student issues relevant to the PDPC.

  • To serve as a Chairperson of the Student Learning Management Committee (SLMC).

  • To organize at least three SLMC meetings per semester.

 

Article IV.  Club Presidents

Section 1:

  • The GBSA Student Organization President’s Council shall consist of the following members:

  • The GBSA V.P.Student Organizations.

  • The Presidents of all recognized student organizations.

  • The Chairpersons of all GBSA committees, both permanent and ad hoc.

  • The Associate Director of Career Planning and Student Life.

Section 2:

The role and responsibilities of the Student Organization President’s Council shall be:

  • To advise the Executive Board on all issues pertaining to the welfare of student clubs.

  • To serve as the official liaison between the Executive Board and the special constituencies they represent.

  • To articulate the concerns of their members to the Executive Board.

  • To make presentations or submit written requests to the Executive Board regarding budgetary needs of their particular clubs or committees for the elected or appointed year.

  • Upon invitation, attend Executive Board meetings as non-voting members.

 

Article V.  Accountability

Section 1:

In such cases as a GBSA Executive Board member has failed to meet their duties, either the GBSA membership or the Executive Board can act to remove the member from office.  The guidelines for removal are described in the GBSA By-Laws.

Section 2:

A “failure” shall be defined as negligence of GBSA duties (including two or more unexcused absences at Executive Board or General Assembly meetings), damaging representation of the GBSA to the Weatherhead community, disparaging representation of Weatherhead and/or the GBSA to external parties, any violation of the Weatherhead Honor Code, or any behavior inconsistent with proper representation of the Weatherhead community.

Article VI.  Governance

Section 1:

The Association shall be governed by rules contained in and adopted in the By-Laws identified as "GBSA By-Laws."

Section 2:

Nothing in the By-Laws shall be construed to conflict with this Constitution.

Article VII.  Ratification

Section 1:

This Constitution shall become effective upon ratification by a simple majority of the full-time voting members.

Article VIII.  Amendments

Section 1:

Any proposal for amending any section of this Constitution shall be submitted to the Executive Board in writing, signed by at least two percent of GBSA members, excluding Executive Board officers. This procedure applies except in the case of Section 3.

Section 2: 

At the next General Assembly meeting of the GBSA, the Executive Board shall authorize the proponents of the amendment to present their proposal and after consideration of all views inopen debate, a vote will be held. The number of votes in favor of the amendment must be at least 5% of the GBSA and must also represent a majority of those voting. The procedure applies except in the case of section 3.

Section 3:

In the event that the Constitution needs to be changed to correct typographical and grammatical errors or to update names or titles, the GBSA Executive Board shall have the authority to make these changes after they are presented to the Board and a majority of the Board votes in favor of the changes.

Section 4:

Upon adoption, amendments shall appear as part of this Constitution.
